Meeting Planner

See a reference time across several timezones.

Free to use, no sign-up required. Meeting Planner is one of 198 tools built into Xenition, alongside a chat that can use them for you.

Shows one meeting time across several time zones and finds the half-hour slots where the most people are within working hours.

How to use Meeting Planner

  1. Set the meeting date and time under Meeting date & time, in your own clock.
  2. Type a city in Add a city / timezone and press Add; your zone, New York, London and Tokyo are preloaded.
  3. Read each row’s local time and date, with off-hours flagged.
  4. Check the summary line for the best time windows in your time.

How it works

Conversions use your browser’s time zone database, so daylight saving is applied for the chosen date. Working hours are 08:00 to 20:00 local time. The tool scores all 48 half-hour slots of your day by who is in working hours and lists up to three best stretches.

Example

Planning from London on 15 October 2026 at 15:00 shows New York 10:00 and Tokyo 23:00 (off-hours). The summary reads that no hour suits all 3; the best is 2 of 3 at 00:00–01:00, 08:00–12:00 and 13:00–20:00 London time.

Questions about Meeting Planner

Why does the gap between two cities change during the year?

Countries change to and from daylight saving on different dates, and many never use it. New York and London are usually 5 hours apart but only 4 for a few weeks in spring and autumn, so the date matters.

Can I type a city that is not a time zone name?

The list matches time zone city names, such as Dhaka or Chicago, plus aliases such as Kolkata, Kyiv, Mumbai and San Francisco. Other cities need the nearest zone city.

Use it from chat

You do not have to open Meeting Planner to use it. Ask Xenition in plain language and it runs the right tool, then carries the answer into whatever you are working on — a document, a spreadsheet, a deck.
